How a freelancer or small business keeps track of money
- Book every day or every week, with the receipt in hand. Trying to rebuild a month from memory always misses something.
- Link expenses to a project or job. Then you see per assignment whether it really pays, and you can price the next quote more sharply. Quote generator
- Keep private and business apart. When you take money for yourself, book it as a private withdrawal: it does not count as a cost.
- Moving money from cash to bank (or back) is not income or an expense. Use Transfer, so both balances stay right.
- At the end of each month, check that the balance here matches your bank statement and the cash drawer. Cash counter
The result in this tool is a cash result: what actually came in minus what actually went out. For the VAT return use the VAT register; for income tax, talk to your accountant. Also read Bookkeeping and invoices.
A helpful tool, not tax or legal advice. Check important amounts.
Frequently asked questions
What is the difference between a cash book and a bank book?
The cash book records all cash coming in and going out, the bank book everything that passes through your bank account. This tool keeps both, with its own balance per account. Taking cash to the bank is a transfer: it is neither income nor an expense.
How do I see what I earn per project?
Fill in the project or job with each expense and income. Under By project you see all projects for the year with income, expenses and result, and per project the figures per month and the expenses by category. You can print the report, save it as PDF or export it to Excel.
Does a private withdrawal count as an expense?
No. Private withdrawals, private deposits, a loan received and its repayment change your balance but are left out of the result. Interest on a loan is a cost.
